Bulk vending Route management

I am just starting out with my vending machine business and was wondering what the main difficulties and pain points are.  I'm not to worried about the social aspect in placing the machines.  What I am concerned about is route management.  


How do you keep track of machine levels, profits, and servicing?


I have one machine in my work breakroom that I manage with a spreadsheet, and that is starting to overflow with just the one machine.  How much details do people track?  I've noticed comments like, "if xxx isn't moving, I pull it" - what are the criteria and how much rigor is used in determining if a candy is performing or not?
