We all know this person

The person I am talking about is the guy who always ask for a refund when you show up to fill your machines. He or she never loses a dime or quarter it is always one to three dollars and has that crazy look on there face kind a like they have been up drinking all night and needs the money for a cheap bottle of wine. I was wondering how other vendors handle this because I know we all have these people on our locations

I very rarely give any refunds, If this is an outside location and its someone that does not work at this location I will offer 1 soda to them or if you don't even want to do that then explain to them you will need to bring back the machine info to your office and do an "AUDIT" on this machine most people are scared of the word AUDIT I know i am.

You should institute a formal refund policy at the location so that the location management is aware of the issue. Printed refund slips that are required to be filled out with information as to the machine and selection problem prior to any refund will allow you to track these fake refunds. Putting the refunds on paper might stop them or at least allow you to prove to management what is happening.

I almost always give refunds out with no questions asked except "what happened" as I get the money. Most of the time, they simply tell me what it did. Sometimes it's for their friend or employee. At a good account, It's like a low commission (if they are lying).

I only had one account like that recently. The manager complained about everything and claimed people were getting ripped off, so I told him I would just remove the machines. His attitude changed quickly but I pulled them anyway. The guy was never available to stop vandals from abusing my equipment but he would complain about his $1 from a month ago that he "never got back" because ge never filled a refund slip. Ot wasn't a good account.

I just refund them and then after I leave I think of all the cool stuff I could've said or done.

 

When it is the same person week after week I call them on it. I just ask why this doesn't happen to anyone else. Only a couple times have I called someone out on lying. I have cut a few people off by asking them not to use the machines anymore and if they do there are no refunds (in the nicest most sincere tone I could possible muster up).

I over heard the manage at a location whisper to one of his guys, watch this. He came up and asked for a free drink. He had about 5 guys following him. I gave him 1 and the next guy stepped up. I just went back to stocking machine. I think I made him look bad in front of his employees. Hes also the guy that is always telling me the vend price are a lot cheaper next door. I know they can't be that much cheaper, I know what he pays for snacks.

I almost always give product with the what was you trying to get, If they say well I dont want it now I will just take the money I tell them I can give them product but not money.

I had one that this lady came up every week "I lost a dollar, I couldnt get snickers, Diet coke, you name it. For a couple months if she saw me she would come right over.  Finally I said "sense you seem to be the only person that has trouble with these machines, I dont think you should use them anymore" Never had another complaint

By the way I said that in front of two of her co-workers, 

 

Had an incident where I overheard a woman in the hall tell one of her co-workers "Watch this, I am going to get a bottle of coke for a dollar"

She walks in and is fumbling with change and she ask me how much for a bottle of coke, I said $1.50, She fumbles around and finally says "I Dont have enough" Silence

She says "I am a little short" MORE SILENCE, She says I sure wanted a coke to settle my stomach" Which I reply "Maybe you should ask one of your friends out in the hall to lend you 50 cents, Never had another problem there

I have found that when I have these people, they don't seem to last long.  Usually when you see the same name pop up on refund slips, it seems that they're crooked enough to try to get a free pop from you, they usually aren't able to hold a job for very long and they're gone.

We had security guard who was suppose to be helping out. LOL We found out after months he was making out refund slips and pocketing the money to the tune of $4 to $5 dollars a week. Or more we never really knew how much. It got fishy when we weren't able to ever find anything wrong.
